How we protect families and keep feedback useful for coaches.

Is this really anonymous?

Yes. Respondents do not create an account and we do not ask for names or emails. Coaches only see grouped results and AI summaries once enough people respond.

What is threshold protection?
Privacy

Threshold protection prevents early results from being visible when only a few people have responded. A check-in unlocks only after it reaches a minimum number of responses.

This helps protect anonymity while still giving coaches insight they can act on.

Does the coach see individual responses?
Privacy

No. Coaches see aggregate rating averages and an AI-generated summary that describes themes. The goal is honest feedback without turning it into personal callouts.

We instruct the AI to avoid quoting any single response verbatim and to focus on actionable themes.

What data do you store about respondents?
Privacy

We store your answers and a privacy-safe hash that helps prevent duplicate submissions. We do not require logins for respondents and we do not ask for names or emails.

The duplicate check uses a salted hash of a device fingerprint. It is not meant to identify a person.

What to expect when you open a check-in link.

Do I need an account to respond?

No. If you have the link, you can respond on any phone or computer. It usually takes about a minute.

Can I respond more than once?
Responding

Generally no. We try to prevent duplicates so results reflect the team, not one person submitting multiple times.

If you think your submission did not go through, refresh and try again. If it says you already submitted, it likely saved.

Can a parent share the link with the team?

Yes. Anyone with the link can share it. Coaches typically share it in team chats or email, but a parent can also share it with the group.

The check-in only unlocks for the coach once enough people respond, which helps protect anonymity.

How should I write helpful feedback?

  • Describe the experience and the impact, not the person.
  • Be specific about what was confusing or what worked well.
  • Suggest one improvement you would like to see next.
  • Keep it respectful. The goal is better communication.

You will see rating averages (when your template includes rating questions) and an AI summary with key insights plus a recommended next step.

The summary is designed to surface themes you can act on quickly, not to spotlight individuals.

When should I run a check-in?

  • Before the end of season, to plan improvements.
Can I close a check-in early?

Yes. You can close a check-in at any time. If enough responses have been collected, we attempt a final summary refresh so your results are ready.

Can I reuse the same template each time?

Absolutely. Repeating the same check-in over time helps you see trends and whether changes improved the team experience.

Yes. Once results unlock, we generate grouped insights and a recommended next step. The AI is instructed to stay neutral, avoid quoting any single response verbatim, and avoid identity assumptions.

What if someone submits inappropriate content?
